POSITION TITLE: Field Office Coordinator
REPORTS TO: Project Manager/Project Superintendent/Project Engineer
LOCATION: Bay Area
DUTIES AND RESPONSIBILITIES:
1. Correspondence: Type, distribute, and file all project correspondence originating from the Rudolph and Sletten, Inc. field office. . Receive and distribute all correspondence at the site. Answer telephones, take messages, and do filing.
2. Logs: Work together with the Project Engineer to prepare and maintain all project logs including Shop Drawings, Submittal Logs, Equipment Rental Logs, Change Orders, Back charges, and Supplemental, etc.
3. Working knowledge of Control Estimate and Cost Accounting to maintain Budget Summary and assist with preparation of the Monthly Project Status Report.
4. Type subcontracts and monitor return to Rudolph and Sletten Inc. for signature.
5. Monitor subcontractor insurance certificates for compliance with contract requirements and advise subcontractors of corrections needed.
6. Monthly billings and subcontractor payments: Prepare monthly billings utilizing field records and information provided by the Rudolph and Sletten, Inc. accounting department.
7. Submit the pencil draft of all billings to Operations Accounting in a timely manner and hand the Owner a correct billing on or before the first of the month.
8. Have complete knowledge of the Owner payment procedure including the names of individuals who review and approve the billing and issue the checks.
9. Follow up to make certain that payment is made by the Owner in accordance with contractual terms.
10. Follow up with Rudolph and Sletten Inc. Subcontract Payables and subcontractors to ensure timely payment of subcontract work.
11. Because the Field Office Coordinator is the first person someone speaks to when they call the project or they are the first person seen on the job when someone visits the trailers, the Field Office Coordinator plays an important role in public relations for Rudolph and Sletten, Inc.
a. Must be pleasant, efficient, and courteous when answering the phone.
b. Should always be helpful when another party needs assistance.
c. Must be a good communicator.
12. Assist the Superintendent in carrying out the Rudolph and Sletten, Inc. Safety Program, including administration of safety meetings, accident reports, order first aid and safety supplies, conduct new employee slide program safety orientation, and other duties as directed.
13. General Skills and Abilities Required:
a. Basic typing skills in excess of 55 wpm.
b. Operation of Hewlett Packard Vectra PC or an IBM compatible type PC.
c. Use of company standard templates and program for MS Excel and MS Word.
14. Must complete the following in-house seminars:
a. Administrative Cost Controls
b. Cost Accounting/Billing System
15. Must attend all monthly Field Office Coordinator meetings/year.
16. Must attend all “mandatory” monthly Safety Dinner meetings/year.
QUALIFICATIONS:
Must be able to demonstrate proficiency in general secretarial tasks including typing in excess of 55 wpm. Must have experience in the use of computer programs MS Word and MS Excel. Requires alert, congenial person with the ability to work with a complex system in a field setting. In addition, an ability to assertively uncover and solve problems while working closely with the on-site staff is necessary. Willingness to travel to other job sites in the Bay Area (or the geographical area they are presently working in i.e. San Diego County) when current job site assignments are complete.
EDUCATION: High School, Business School, and/or some College desired.
EXPERIENCE: Must have combined secretarial and accounting skills. Experience in the construction industry desired.
